Quick answer
Book your transfer before travel. Give the scheduled local arrival date, time and flight number of the flight landing at Tocumen (PTY). Do not replace the flight arrival time with a guessed time for completing immigration. Ask where to meet the driver, when the waiting-time allowance starts, what it includes and how to report a delay. The vehicle leaves after your arrival formalities and according to the pickup arrangements you have confirmed.
Flight arrival, passenger exit and vehicle departure are different moments
A flight can have a scheduled arrival, an updated arrival estimate and an actual arrival. None of these means that you have cleared immigration, collected every bag and reached the meeting point. Tell the booking team whether you are giving the flight arrival time or requesting a fixed pickup appointment. Airport formalities and the road journey are separate parts of planning when you will reach your hotel.
What to enter in the transfer request
Use the final flight segment that actually lands at PTY, rather than the first flight of a connecting itinerary. Include the airline, flight number and local arrival date shown on that booking. For an overnight journey, check whether arrival is on the following calendar day. If your confirmation shows a fixed appointment instead of flight-linked pickup, ask how it relates to the flight before accepting it.
Immigration and baggage: avoid a fixed countdown
For an international arrival entering Panama, allow for the entry process, any checked baggage and applicable customs procedures before meeting a landside driver. Queue lengths, baggage delivery, assistance needs and individual circumstances vary. We do not promise a universal time from landing to the car. Tell the provider if you need mobility assistance, have several checked bags or must resolve a baggage problem; ask the airline or airport staff about baggage issues.
Confirm the terminal and the exact meeting instructions
Tocumen provides passenger services in Terminal 1 and Terminal 2. A terminal name by itself is not a driver meeting point. Obtain written instructions for your confirmed arrival, including who will contact you and what to do if you cannot find the driver. Do not walk to another terminal or accept an unfamiliar driver merely because a generic website suggests it. Follow the arrangements supplied by your confirmed provider.
Late arrivals and families: arrange the details before you fly
For a late-night arrival, confirm that your requested service is available for your travel date and how you will contact the team after landing. For a family, include every passenger, each child’s age and size, all luggage and requested child seats. A child seat or larger vehicle must be explicitly confirmed. These details affect vehicle suitability; they are not a reason to guess a later flight arrival time.
Flight delayed, terminal changed or baggage missing?
Send the changed flight number, local date or terminal as soon as you know it. Ask whether the provider monitors that flight; do not assume automatic tracking or unlimited free waiting. If you are already at PTY but delayed inside the terminal, explain your situation and agree the next step. Before booking, get written answers on the waiting-time allowance, its starting event, extra charges and the no-show procedure.
Keep your hotel arrival plan separate from airport pickup
Airport processing is additional to the published driving estimate. The hotel’s exact location also matters: a city hotel, a Casco Viejo property and a beach resort require different routes. Check the property name and address rather than relying on a similar brand name. If reception has a check-in deadline or you need access to a private residence, tell the host your arrival is approximate.
Three arrival situations
| Your situation | What to arrange |
|---|---|
| International arrival with checked baggage | Provide the flight’s scheduled local arrival. Agree how to contact the driver after entry formalities and baggage collection; do not promise a fixed exit time. |
| Late arrival with children | Confirm nighttime availability, child seats, all passengers and luggage before departure. Keep the contact and meeting instructions available offline. |
| Delayed flight or changed terminal | Report the revised itinerary. Confirm how tracking, waiting time and any additional charges apply to your specific booking. |
