Quick answer
Give the provider every hotel address and assign passengers, child-seat requests and bags to each stop. Ask for a complete quote with an accepted drop-off order, then compare separate journeys on the same basis. A private journey for your own group with several agreed stops is different from a shared hotel shuttle. Neither extra stops nor vehicle availability follows automatically from a direct-transfer estimate.
One airport meeting does not decide the onward journey
This plan starts with a group ready for one confirmed pickup at PTY. If flights or exit times differ, settle that airport coordination separately. Once everyone is ready, ask whether one multi-stop journey or separate vehicles better suits the actual destinations and needs. Sharing is not automatically cheaper, faster or available.
Assign people and luggage to each hotel
List each property’s current name, full address, entrance, passengers, bags and requested child seats. Count everyone, including children, in the vehicle assessment. Choose one organiser and a reachable contact for each hotel party. Identify whose cases must come out at each stop; tell the provider about bulky items so unloading and remaining passengers can be considered together.
Have the provider accept the drop-off order
Do not infer the order from hotel names, straight-line distance or the sequence entered in a form. Ask the provider to assess the real route, entrances and any restrictions, and record the agreed sequence. Casco Viejo access and a hotel or tower entrance in Costa del Este require precise instructions. These examples do not establish which stop should come first or guaranteed arrival times.
Compare one complete journey with separate transfers
Compare total group cost and conditions, not an unexplained price per passenger. Ask what the shared itinerary means for those travelling to the final stop, including unloading at earlier hotels. Consider rest needs, children and reception arrangements without inventing a fixed detour allowance. Separate vehicles also need explicit capacity, availability, contact and pickup acceptance.
Get a quote covering every hotel stop
A direct zone estimate cannot simply be added to another or replaced by the highest zone price to create a multi-stop fare. Request the accepted route and order, vehicle configuration, all passengers and bags, tolls, taxes, airport charges, waiting, child seats and change terms in one written total. Standard allows up to three passengers and Premium up to two, subject to luggage; larger groups require a vehicle-specific quote.
Unload completely and confirm changes before moving on
At each hotel, check that the right passengers and all their bags have left the vehicle, while the remaining party keeps its belongings. A reception wait, extra address or changed hotel is not automatically included. Ask the provider to accept a revised route and price rather than instructing the driver independently. Confirm the next step if a property cannot receive its guests.
Questions before accepting the arrangement
Two hotels with the same brand? Use separate full addresses. Can one person coordinate? Yes, with a reachable contact for each party and the provider’s accepted instructions. Is the return simply the reverse route? No: quote each pickup and flight requirement separately. Does a request reserve the car? No: the provider must explicitly confirm service, vehicle, fare and arrangements.
Three multi-hotel situations
| Your situation | What to arrange |
|---|---|
| One pickup, several confirmed hotels | Compare an accepted multi-stop quote with complete separate-transfer quotes. |
| The final party has different timing or comfort needs | Assess the entire journey to its hotel rather than just the first drop-off. |
| A hotel or stop changes | Request revised acceptance and fare before relying on the new route. |

Hello, our group is ready for one PTY pickup on [flight/local date]. Hotel A: [name, address, entrance, passengers, bags, seats]. Hotel B: [same details]. Contacts: [organiser and each party]. Please compare a private multi-stop journey with separate transfers and confirm the accepted order, suitable vehicle(s), full total, waiting and change terms. Please assess return journeys separately. This is a quote request, not a reservation.
