Quick answer
State that you are arranging transport for someone else. Give the passenger’s name and verified trip details, identify the organiser separately and agree a reachable passenger contact and backup. Ask who may request changes and how the provider accepts them. Send the traveller the latest written confirmation, meeting instructions, destination and agreed fare or payment instructions. An enquiry is not a reservation, and your availability does not replace the passenger’s arrival plan.
Separate the organiser from the person being collected
Tell the provider who submits the request and who actually travels. Confirm which passenger name identifies the pickup and any agreed sign; do not assume the organiser’s name will be used. If arranging for a group, identify the travelling lead passenger as well as the non-travelling organiser. This does not establish an escort or unaccompanied-minor service.
Have the passenger verify the journey details
Check the final operating flight into PTY, local arrival date, exact hotel or residence, all passengers and the complete luggage load with the traveller. Do not copy an old itinerary without checking it. Match the accommodation address rather than the person who booked its room. A similar hotel name or another Panama airport can change the required journey.
Agree a working arrival contact and backup
Ask the traveller which phone and communication channels will actually work on arrival. Provide the organiser’s contact separately and explain any period when they cannot answer. Agree the provider’s accepted main and backup contacts, including country codes. Do not rely on every message being relayed immediately or on the organiser’s phone being sufficient when the passenger cannot find the meeting point.
Give the traveller the complete confirmed instructions
Share the latest accepted provider details, reference, passenger name, terminal-specific meeting instructions, destination and contact procedure. Include the agreed fare or payment instructions relevant to the passenger, without sending card credentials or unnecessary identity documents. Prepare a paper copy when needed. A forwarded quotation is not provider acceptance; ask the traveller to confirm they have the current instructions.
Ask the traveller about language and assistance needs
Discuss actual needs rather than making assumptions from age or nationality. Request any preferred communication language and ask whether it can be accommodated; no driver language is guaranteed here. Describe boarding needs, mobility equipment and luggage precisely. A road transfer does not automatically include airport assistance, help through border procedures, personal supervision or access inside a property.
Agree how changes and costs will be approved
Ask who may request changes and what confirmation makes a revised route, date or fare accepted. Keep the traveller and organiser informed of the same version. Payment method, payer, any invoice details and who meets charges require the actual provider’s agreement; do not assume remote payment is supported. A private arrangement to pay for someone does not itself change provider terms or make a driver message an accepted amendment.
Check that everyone holds the same final confirmation
Before departure, compare the passenger’s copy with the organiser’s accepted route, contacts, waiting terms and delay plan. Tell the provider promptly if the flight or receiving address changes and obtain acceptance. Keep accommodation reception separately informed where relevant. Sending a request reserves no car. The existing enquiry process and January 2027 operating-start notice remain in force.
Three bookings for another traveller
| Your situation | What to arrange |
|---|---|
| You arrange a ride for a relative | Verify their own contact, needs and copy of the meeting instructions. |
| A company organises a guest’s arrival | Separate guest, organiser and receiving-host contacts; agree changes and payment terms. |
| The traveller cannot use a phone on arrival | Obtain an accepted offline meeting and fallback plan before flying. |
