Quick answer
Use the contact in your existing transfer confirmation, quote its reference and report the current situation promptly. Send confirmed replacement flight details when available, including the final arrival airport and local date. Ask the provider to assess the revised journey, terms and availability and confirm the change in writing. A message sent, flight-tracking update or new airline ticket is not transfer acceptance.
Separate a delay from a replacement itinerary
A delayed operating flight and a cancelled flight followed by a new booking are different updates. State whether you still expect to travel on the original flight or have a confirmed replacement. If the airline is only offering options, label them as provisional rather than giving a guessed arrival as final. Ask the provider what happens to the original pickup while you wait for the airline’s decision.
Connect the old reference with the new details
Send the passenger name, existing transfer reference and original pickup date, then the new operating flight, final arrival airport, local date and time. Include changed passengers, bags or requested seats. A replacement connection may have a different final flight number. Share the details needed to identify and assess the trip, not complete passport files, payment-card data or unrelated booking documents.
Recheck the local date and airport code
An arrival after midnight can change the local calendar date. Read the airport code on the confirmed itinerary: PTY, PAC, BLB and RIH are not interchangeable terminals. If the new flight arrives elsewhere, request a fresh route and service assessment; do not assume the existing PTY fare or provider coverage applies. New terminal-specific meeting instructions are needed if the accepted arrival changes.
Review the accommodation and return separately
If the first hotel or overnight plan changes, give the exact new address and stay dates. Confirm late access or room changes directly with the property. Also check the return flight, final hotel, pickup date and any other agreed legs. Changing the arrival transfer does not automatically alter the return, a hotel booking or an onward connection.
Check the written change and cancellation terms
Read the original confirmation for changes, cancellation, no-show, waiting, payment and any refund rules. Ask which terms and any revised charges apply to your actual situation; do not assume free rebooking or reimbursement because the airline changed the flight. If the provider cannot accept the new journey, obtain its answer about the existing booking before deciding on another arrangement.
Get an explicit revised confirmation
Ask for the provider, accepted route, date, flight, vehicle suitability, full fare, waiting terms, meeting instructions and working contact in writing. Have the provider state which original leg is replaced and which remain unchanged. Keep the revision alongside the old reference. Silence is not acceptance; an unlabelled second enquiry can create confusion rather than reliably amending the first booking.
Questions while the new plan is unresolved
No replacement flight yet? Send a status update and agree when and how to update again; do not invent a pickup date. Need an airport-area overnight stay? Confirm the room and exact property separately, then ask about the required road legs. Does flight monitoring update every booking detail? Do not assume it does. Does an enquiry reserve a new car? No: availability and arrangements need written acceptance.
Three rebooking situations
| Your situation | What to arrange |
|---|---|
| Replacement confirmed, still arriving at PTY | Send the actual final flight and local arrival details with the old reference, then obtain written acceptance. |
| Date, airport or destination changed | Request assessment of the new route, service, terms and any separate return leg. |
| No confirmed replacement yet | Report what is known and agree the next update and treatment of the original pickup. |

Message template
Replace the bracketed fields before sending. No reservation is created by copying this example.
Hello, regarding transfer [reference] for [name] on [original date]: my flight is [cancelled / rebooked / still unresolved]. Confirmed new details: [final flight, airport code, local date/time], or [not yet confirmed]. Destination and group changes: [details]. Other legs: [details]. Please assess the change, explain applicable terms and charges, and confirm which original leg is replaced. This is a change request, not an assumption that a new pickup is reserved.
